Data security and privacy are top priorities at Crowdtech. That’s why we are constantly enhancing our knowledge and skills to provide users of Crowdtech Insights with the best possible support in these areas. Recently, Kai-Yu, our Manager of IT Operations, delivered a session where he shared insights into the dark arts behind email delivery and its security. How can you increase the likelihood of an email landing in the recipient’s inbox? So, how can you increase email reputation and email deliverability rates?
Why email security matters to you as a user
Email is one of the most widely used communication methods today, but it’s also one of the most vulnerable. Poor email security can lead to issues such as phishing, data breaches, damage to your reputation, or your email being flagged as spam. At Crowdtech, we understand how important it is to have trust in our tools. That’s why we place great emphasis on configuring the correct technical settings for email.
During a knowledge-sharing session, our specialist Kai-Yu informed attendees about email security. The session was an accessible way to update both technical and non-technical users on how we keep emails secure and protect privacy. We explored how protocols such as SPF, DKIM, and DMARC contribute to secure email communication and how everyone at Crowdtech plays a part in safeguarding our data and that of our clients.
What does this mean for you as a user?
The knowledge from the session is directly applied to our services, such as our Branding Upgrade add-on. This ensures that your email communication via Crowdtech Insights remains reliable, secure, and effective. You can use our platform with complete confidence. So, what does this mean for you in practical terms?
Reliable email campaigns
Would you like to send emails from your own domain via the Crowdtech Insights platform? We ensure that these are sent securely using techniques such as SPF, DKIM, and DMARC. This reduces the chance of your emails being flagged as spam by ISP’s (Internet Service Providers, e.g. Microsoft and Google). ISP’s use smart algorithms and machine learning to determine if an email is relevant to a recipient. The most practical check in this process is if the technical settings are correct. Is the sender domain authorised by the company sender to send the actual email? If so, your campaigns become more successful and response rate improve.
Higher email deliverability
Thanks to our security measures, your emails are not only sent securely but also delivered reliably. This means your messages reach their intended destination without being flagged as spam, ensuring you can effectively connect with your target audience for feedback. The downside is that if you do not enter correct credentials, your email message will get flagged as secondary email or even spam. Consequently, the recipient will have a hard time trusting or even seeing the email sent by your company.
Assistance with email configuration
We support you in correctly setting up technical aspects such as DNS records. Using tools like Spotler and Flowmailer, we check that everything functions properly. This way, you can be confident that your emails are sent without any issues.
Quick resolutions for problems
If something doesn’t work as it should, we resolve it quickly. Tools like MX Toolbox help us identify and fix any issues in your email settings. This minimises delays and ensures you can get back to work swiftly.
Protection against misuse
Your domain is safeguarded against phishing and other types of misuse. With our robust security techniques, we ensure that only you can use your domain for sending emails.
Anything else?
Crowdtech can help you with the correct technical settings. Yet, other things are really important to take into account regarding email deliverability. Like mentioned earlier, ISP’s use smart algorithms and machine learning to determine if an email is relevant to a recipient. So, test your subject line and make sure the email content is relevant for the recipient. If the subject line makes sense, more people will open the email. When the content is relevant, more people will click on the email links. Why? This kind of behavior (opens and clicks) are a very important part of the algorithms by ISP’s. They strive to show recipients the most relevant content only.
Tips for additional security
While Crowdtech provides advanced security, you can also take steps to ensure safer email usage:
- Use strong passwords: choose unique, complex passwords for your accounts.
- Be cautious with suspicious emails: always verify the sender’s email address and avoid clicking on unfamiliar links.
- Keep software updated: outdated software can contain vulnerabilities that hackers may exploit.
