How to know if you’re spending too much time creating surveys.

Associated products:

For most insight professionals, creating surveys is a routine task. But what starts as routine can quietly become a drain on time and energy. Hours slip away in scripting, formatting, testing, and fixing logic, often without noticing how much of your week disappears into it.

The irony is clear: the greatest value of your role lies in interpretation, not execution. Yet, many professionals still find themselves investing more time in building surveys than in uncovering insights.

Recognising the time trap

You might recognise some of these symptoms:

  • Every new survey starts from scratch: logos, layouts, and standard questions are rebuilt time after time.
  • Routing and logic checks consume a couple of hours.
  • Feedback loops cause repeated editing rounds, delaying delivery.
  • The effort to build a survey outweighs the time spent analysing results.

Individually, these are small inefficiencies. Collectively, they create a significant operational burden.

The hidden cost of inefficiency

On average, researchers spend 2 to 5 hours per survey for just setting it up. If you run just one survey a month, that’s up to 60 hours a year.

That’s 1,5 working week spent on technical and administrative chores. And the thing about this is: it’s not necessary at all.

And insight professionals recognise this struggle. A study shows that the main research challenge they have is that research is too time-consuming. 76% amongst 202 global insight professionals acknowledge this.

Where surveys waste time and how to win it back

  • Step 1: Define goals and draft questions
You start by turning business goals into clear questions and response scales.
    Typical time: 45–60 min
    • With Crowdtech: 15–20 min (templates and a question library mean you adapt, not start from scratch.)
  • Step 2: Apply branding and structure
Once the content is set, you frame it in your brand: logo, colours, fonts, pages and progress.
    Typical time: 30–45 min
    • With Crowdtech: 5–10 min (a reusable brand theme carries your style to every new survey automatically).
  • Step 3: Add logic, routing and quotas
With the shell in place, you layer in the logic: skips, randomisation, validation and quotas, then check key paths.
    Typical time: 60–90 min
    • With Crowdtech: 30–40 min (built-in logic blocks are configured in minutes, not hand-built. Our user-friendly platform makes it easier too).
  • Step 4: QA and device checks
After logic, you sanity-check the build by switching between desktop and mobile, and tidy edge cases and copy.
    Typical time: 30 min
    • With Crowdtech: 10 min (surveys are intuitive on desktop and mobile, so no separate device testing is needed.)
  • Step 5: Stakeholder review and revisions
With a stable draft, you share it, fold in comments, and fine-tune wording and routes.
    Typical time: 45–60 min
    • With Crowdtech: 20–25 min (modular sections and inline edits keep changes tight and quick. Feedback from your first run can be saved into a reusable template for your team, cutting time on every next project).
  • Step 6: Launch, channels and tracking
With sign-off secured, you generate links. You set invites (email/website/WhatsApp) and confirm tracking and dashboards.
    Typical time: 25–30 min
    • With Crowdtech: 10–15 min (our team can set up your WhatsApp sender once, so you reuse it every time. You can create multiple shareable links for different platforms. Live dashboards in your branding are ready to share any minute within a minute.

Even in the analysis of the results you can save time. With a sharable online report no custom work is necessary!

Totals

  • Conventional build ~ 4–5 hours
  • With Crowdtech ~ 1.5–2.5 hours
